Job description:
Front Desk Management - Response and redirect phone calls to the right person professionally. Process sense of urgency and stay alert on screening suspicious phishing incoming calls to protect company benefits.
- Ensure all the incoming / outgoing mails and documents are handled carefully by sorting and distributing to the right person or department pigeonhole for their representative department to collect and distribute accordingly
- Ensuring the reception area is tidy and presentable
- Welcoming guests as they arrive and directing them to the appropriate person or department, and addressing any issues that arise
- Work closely with building concierge for visitors’ registration
Administrative Support - To coordinate with courier services for arranging and ensuring JTI documents reach destinations, work closely with dispatch to ensure mails are delivered external and internal within time frame.
- Purchase & keeping track of office supplies and ensuring that break rooms and office areas are well-stocked.
- Facility Management: Ensuring the office environment is clean, safe, and functional. Liaising with vendors for office equipment maintenance/ repairs & cleaning company.
- Payment Management: Ensure timely and accurate payment which comply with relevant financial regulations and company policies.
Requirements: - Educational Qualification: Minimum Diploma or equivalent in a relevant field.
- Experience: At least 3 years of relevant work experience.
- Language Proficiency: Fluency in both English and Bahasa Malaysia (written and spoken).
- Technical Skills: Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, etc.)
